AgentHood Operators LLC (“AgentHood,” “we,” “us”) is a New York company that builds and runs AI agents for restaurants, bars, breweries, wine bars and cafés. This policy explains what personal information we collect, why, and what we do with it. It covers this website, our booking and payment pages, and the way we handle information when you contact us or become a client.
The short version: we collect what we need to talk to you, schedule with you and bill you. We do not sell personal information, and we do not run advertising trackers or analytics cookies on this site.
1. Information we collect
When you visit this site
We do not set cookies of our own and we do not use analytics or advertising trackers. Like any website, the site is delivered by service providers that process basic technical data to make it work:
- Hosting. The site is hosted on Cloudflare, which processes your IP address, browser type and the pages requested in order to deliver the site and protect it from abuse.
- Fonts. Typefaces are loaded from Google Fonts, so your browser sends a request, including your IP address, to Google.
When you book a call
Our booking page embeds a scheduler from Calendly. If you book a time, Calendly collects what you enter, typically your name, email address, phone number and any notes, and shares it with us so we can hold the meeting. Calendly may set its own cookies inside the scheduler.
When you contact us
If you email, call or text us, we receive your contact details and whatever you choose to tell us about your venue.
When you pay us
Payments are processed by Stripe. When you book a paid audit or pay an invoice, Stripe collects your name, business name, email, phone, billing and venue address, and your payment details. We receive a record of the payment and the contact details you entered. We never see or store your full card or bank account number.
When you are a client
To run agents for a venue we connect to systems the venue already uses, such as its point of sale, reservation book, review profiles, phone line and delivery accounts. That gives us access to business records and, in some cases, information about the venue’s guests and staff. We handle that information on the venue’s behalf, under a written services agreement with the venue. See section 4.
2. How we use information
- To reply to you, schedule calls and audits, and prepare for them.
- To deliver, operate, monitor and support the services a client has signed up for.
- To send invoices and receipts, process payments, and notify you about a failed payment or an expiring card.
- To keep business, tax and accounting records, and to meet legal obligations.
- To protect the site and our services from fraud and misuse.
We do not send marketing texts or add you to a marketing list without your consent. If you text or email us first, we will reply to that conversation.
3. Who we share it with
We do not sell personal information, and we do not share it with third parties for their own advertising. We share it only with:
- Service providers that help us run the business, including website hosting (Cloudflare), scheduling (Calendly), payment processing (Stripe), and our email, phone, document and customer-record tools. They may use the information only to provide their service to us.
- Technology providers used to deliver client services, including the AI model providers and messaging and telephony services that our agents run on. Client information is sent to them only as needed to perform the service.
- Professional advisers and authorities, such as our accountant or attorney, or a court or regulator, when the law requires it or when needed to protect our rights or someone’s safety.
- A successor business, if AgentHood is merged, sold or reorganized. The successor would remain bound by this policy for information already collected.
4. Information we handle for our clients
When we operate agents for a venue, the venue decides what information is collected from its guests and how it is used. We act as the venue’s service provider. Under our services agreement we do not sell that data, do not share it with other clients, and do not use it to train publicly available AI models. We may use aggregated, de-identified operating metrics, which cannot reasonably be traced back to a venue or a guest, to improve our services.
If you are a guest of a venue we work with and have a question about your information, such as a reservation, a message you received or an opt-out, please contact the venue directly. If you write to us, we will pass your request to the venue and help it respond.
5. How long we keep it
We keep enquiry and scheduling details for as long as we are in conversation with you and for a reasonable period afterwards. We keep client records for the life of the engagement, and billing and tax records for as long as the law requires. When a client engagement ends, we return or delete the client’s data on written request, as set out in the services agreement.
6. Security
We use reasonable administrative, technical and physical safeguards suited to the kind of information we hold, including access controls and reputable, security-audited providers. No system is perfectly secure. If we learn of a security incident that affects your information, we will notify you as the law requires.
7. Your choices
- Access, correction and deletion. Email us and we will tell you what personal information we hold about you, correct it, or delete it, unless we need to keep it for legal, tax or billing reasons.
- Messages. You can ask us to stop contacting you at any time. Reply STOP to a text or tell us by email.
- Cookies. You can block or clear cookies in your browser. The site works without them. The embedded scheduler may not.
Depending on where you live, you may have additional rights under your state’s privacy law. We will honor valid requests whatever your state, and we will not treat you differently for making one.
8. Children
This site and our services are meant for businesses and the adults who run them. We do not knowingly collect personal information from children under 16.
9. Changes to this policy
If we change this policy, we will post the new version here and update the date at the top. If a change materially affects how we use information we already hold about clients, we will tell them directly.
